This reusable prompt helps you turn a community-meeting transcript you already have into a neutral, attributed summary: positions per topic, open questions, what was not decided, and who said what.

What to paste, and where: open any ordinary AI chat that accepts text, paste the full prompt below, then paste your four inputs (transcript, meeting info, your goal, constraints) in the same conversation.

How to check the output: search the transcript text for every quote and speaker label it lists, and confirm no decision is reported that the transcript does not record. Use the built-in checklist before sharing with anyone.

Introduction

The prompt works only from the text you paste: no browsing, no links, no contacting anyone. It tells the model to mark paraphrase versus quote, to write "unclear in transcript" instead of guessing, and to prepare a draft for human review rather than publish or send anything.

Do I need any setup? No terminal or API setup: an ordinary text-accepting chat is enough. Can I share the summary directly? No. Finish the checklist and ask a human organizer about the follow-up questions first.

You are helping me build an attributed summary of a community meeting from a transcript I already have. Work only from the text I paste below. Do not browse, do not open links, do not contact anyone, and do not claim you attended or heard the meeting.

INPUT I WILL PASTE

  1. TRANSCRIPT: the meeting text, ideally with speaker labels and rough timestamps. If speaker labels are missing, label speakers as Speaker 1, Speaker 2, and so on, and say the labels are inferred.
  2. MEETING INFO: date, group or organization name, meeting purpose, and the decision rule if one was stated (for example, majority vote, consensus, chair decides).
  3. MY GOAL: who will read this summary and what they need to decide or follow up on.
  4. CONSTRAINTS: anything I must include, exclude, or handle carefully (for example, names of minors, a confidential item, a topic to keep neutral).

TASK Produce a neutral summary organized by topic, using the transcript as the only source.

OUTPUT FORMAT Meeting header: date, group, purpose, stated decision rule.

Then, for each topic discussed, in the order it first appears:

  • Topic name in plain words.
  • Positions: for each distinct position, one bullet with (a) the speaker label, (b) the position as stated, (c) a short supporting quote or near-quote from the transcript, and (d) a timestamp or location marker if available.
  • Open questions: unresolved questions the transcript actually raises.
  • What was not decided: items left without a decision, and whether that was explicit or just silence.
  • Who said what: a compact list of the speakers tied to this topic and their stance, so no position is stated without a name.

Then add: Agreements: points of clear agreement, each with at least one speaker and a supporting line. Disagreements: each with the speakers involved and the specific point of difference. Action items mentioned: only ones actually stated, with owner, task, and any deadline said aloud. My open questions for follow-up: questions I should ask a human organizer before sharing this summary, including any missing inputs listed below.

UNCERTAINTY AND MISSING INPUTS

  • If the transcript is incomplete, noisy, or lacks speaker labels, say so at the top under a Confidence note and lower the level of detail rather than guessing.
  • Mark any line that is a paraphrase as "paraphrase" and any direct quote as "quote."
  • If two speakers overlap or a statement is ambiguous, write "unclear in transcript" instead of choosing an interpretation.
  • If I did not provide a decision rule, say "decision rule not stated in my inputs" and do not infer one.
  • If the transcript does not cover a topic someone might expect, list it under Missing inputs, not under positions.

REVIEW CHECKS After the summary, add a short checklist for me:

  1. Every speaker label in my output appears in the transcript.
  2. Every quote I can find by searching the transcript text.
  3. No position is attributed to a group when only one person said it.
  4. No decision is reported that the transcript does not actually record.
  5. Names, dates, and numbers match the transcript exactly.
  6. Items I flagged as exclusions are not present in the output.
