Paste your meeting details into an ordinary AI chat that accepts text, together with the prompt below. No terminal or API setup is needed.

Input to paste: the twelve items the prompt asks for, for example garden name and general location, date and time window, main tasks, what to bring or wear, minimum age or supervision rules, tools provided, meeting point, access notes, sign-up method, cancellation plan, organizer sign-off, and any known limits. You can paste them as a rough list.

How to check the output: read the draft against your own list. Every date, time, task and bring-item must come from what you supplied. Anything you left out should appear as a bracketed placeholder such as [ORGANIZER TO CONFIRM: meeting point], not as a guess. Check that no sentence promises safety, completion, refreshments or weather that you did not supply. The worked example in the prompt is labelled fictional and does not establish real runtime testing.

What this prompt does: it writes a short, ready-to-send workday announcement of roughly 150-300 words: a subject line, a friendly opening, a task bullet list, a bring-list, a "Good to know" paragraph, and a closing sign-up line. It works only from the facts you give and refuses to smooth over a missing date, time or location.

Missing inputs and placeholders: if a section has no supplied facts, the prompt inserts a labelled bracketed placeholder and keeps it visible so you can complete it. Expect placeholders for anything you skip, including the meeting point, age rules or cancellation plan. Never accept a guessed date or location.

Privacy and limits: only paste information you are willing to share with the AI service you use. Do not include private contact details you would not want processed there. The draft is not a safety, medical or legal document, and it does not promise attendance numbers, outcomes or that tasks will finish. This prompt prepares a draft; you must review and send it yourself.

FAQ

What if I don't have all twelve items? Leave them out of your input. The draft will carry a visible bracketed placeholder instead of an invented detail.

Can I add my own reassurance like "all tools provided"? Only if you supplied that fact. Adding it when you listed only some tools is the prompt's own fail example.

Complete reusable prompt

You are drafting a short community-garden workday announcement for volunteers. Work only from the facts the organizer supplies. Do not invent safety claims, skills requirements, weather promises, accessibility guarantees, sponsorship, refreshments, or contact methods.

INPUT I WILL PASTE

  1. Garden name and general location (e.g., street or neighborhood — omit if not supplied).
  2. Workday date and time window.
  3. Main tasks for the day, as a rough list (e.g., weeding beds, moving compost, repairing a gate).
  4. What volunteers should bring or wear (only items the organizer lists).
  5. Minimum age or supervision rules, if supplied.
  6. Tools or materials provided on site, if supplied.
  7. Meeting point and how people find the group, if supplied.
  8. Access notes (steps, uneven ground, parking, transit, toilets), if supplied.
  9. Sign-up or RSVP method, if supplied.
  10. Rain or cancellation plan, if supplied.
  11. Organizer name or role to sign off, if supplied.
  12. Any known limits (small tool supply, limited spaces, no childcare), if supplied.

TASK Write a complete, ready-to-send announcement of roughly 150-300 words that covers: what the workday is, when and where to meet, what will be done, what to bring, who can take part, what is provided, how to confirm attendance, and what happens if plans change. Write for a general reader who has never visited the garden.

FORMAT

  • A short subject line at the top, labeled "Subject:".
  • A friendly opening sentence that says what the event is and when.
  • A "What we'll be doing" bullet list drawn only from the supplied task list.
  • A "What to bring" bullet list drawn only from supplied items; if nothing was supplied, write one line saying to wear clothes that can get dirty and bring a water bottle, and mark it as a default suggestion to confirm.
  • A short "Good to know" paragraph for age rules, access notes, provided tools, limits, and the cancellation plan.
  • A closing line with the sign-up method, or a placeholder telling the reader to contact the organizer if none was supplied.

UNCERTAINTY AND MISSING INPUT If a section has no supplied facts, do not fill it with plausible detail. Instead, insert a clearly labeled bracketed placeholder such as [ORGANIZER TO CONFIRM: meeting point]. Keep all placeholders visible so the organizer can complete them. Never smooth over a missing date, time, or location by guessing.

BOUNDARIES Do not state or imply that the work is safe, suitable, or risk-free, and do not describe first aid, insurance, injury coverage, or hazard precautions unless the organizer supplied that wording. Do not promise attendance numbers, outcomes, or that tasks will finish. Do not add health, medical, or legal advice. This prompt prepares a draft; the organizer must review and send it themselves.

WORKED FICTIONAL EXAMPLE Input: Garden name Riverbank Community Garden; date Saturday 12 April, 9:00-12:00; tasks: weed the herb beds, move two pallets of compost, fix the front gate latch; bring: gloves and sturdy shoes; provided: spades and wheelbarrows; meeting point: main gate on Mill Road; access: flat path, no toilets on site; RSVP: reply to the organizer's message by Thursday; cancellation: heavy rain cancels, notice posted the night before; min age: under 14 must come with an adult.

Illustrative output shape (abbreviated): Subject: Riverbank Community Garden workday — Saturday 12 April, 9:00-12:00 We're gathering at the main gate on Mill Road to tidy the garden and get a few jobs done together. What we'll be doing: weed the herb beds; move two pallets of compost; fix the front gate latch. What to bring: gloves and sturdy shoes. Good to know: Spades and wheelbarrows are provided. Under-14s must come with an adult. The path is flat, and there are no toilets on site. Heavy rain cancels the workday, with notice posted the night before. To join: reply to the organizer's message by Thursday.

CHECKS BEFORE SENDING

  1. Every date, time, task and bring-item in the draft must appear in the input above; if not, delete it or replace it with a bracketed placeholder.
  2. Check that no sentence promises safety, completion, refreshments, or weather conditions that were not supplied.
  3. Confirm the meeting point, age rule and cancellation plan each appear if supplied, and are visibly placeholdered if not.
  4. Read the draft aloud once for tone; it should sound like a neighbor, not a permit application. Pass example: a draft mentioning under-14 supervision only because the input said so. Fail example: adding "all tools provided, just bring enthusiasm" when the input listed only spades and wheelbarrows.

Return only the finished draft with its labeled sections and any placeholders.
