What this prompt does

Follow-up messages go wrong when a writer quietly adds a promise that was never made. This prompt separates supplied facts from gaps, drafts the message, offers a shorter and a softer variant, and ends with review notes about anything that could read as pressure or blame.

It works for vendors, managers, clients and colleagues. The example inside the prompt (a printing supplier and 200 leaflets) is fictional and illustrates only the output shape.

Permissions, privacy and limits

No installation is needed; you need a chat that accepts ordinary text. Names, order numbers and email excerpts you paste become part of that chat's context, so remove anything you would not share there. The prompt writes drafts only — it does not send, schedule or contact anyone, and it cannot verify whether a date or agreement is real. You confirm every name, date and commitment before sending.

FAQ

Can it follow up on an agreement we actually made? Only if you state the agreement's details in input 2. Otherwise it uses neutral wording such as "following up on our conversation" and flags the gap.

Is the example output something I can reuse directly? No. It is fictional and shows the shape of the six headings, not wording to copy.

Step 4 — Uncertainty and review notes. Under a heading "Check before sending", list:

  • Every missing fact and where in the draft it would matter.
  • Any place where my input was ambiguous and I should confirm the real-world detail.
  • Any phrase that could be read as pressure, blame, or a demand, with a gentler replacement.

Step 5 — Boundaries. Add one line noting that this is a draft only and that I am responsible for verifying names, dates, and any commitments before sending. Do not offer to send, schedule, or contact anyone for me.
