This prompt turns messy shift information into a draft coverage plan you can hand to a manager. It is preparation only: no rota is approved and nobody is contacted.

What to paste, and where: open any ordinary AI chat that accepts text, then paste the original prompt (appended below) together with your own input: the position(s) and planning window (start to end date); minimum staff per day and per time block; each person's stated preferences, maximum shifts or hours, and unavailable dates/times; required skills or constraints; and any rules you want followed, such as a cap on consecutive days.

How to check the output: confirm section B has one row per date and time block; every "Covered" row names a person whose stated availability allows it; no one exceeds a stated maximum; each Gap reappears in section D with a required decision; and section F lists assumptions separately rather than burying them.

The prompt keeps every required decision visible instead of guessing at availability. If you leave out the window, the minimum coverage rule, or the people list, the assistant should stop and ask before planning. Two rules that clash are flagged, not silently resolved.

Permissions and limits

The assistant cannot read calendars, staffing systems or accounts, and must not send, publish, schedule or confirm anything. It only works from what you paste.
